Confirming Bookings

Any booking that you receive is not officially added to the diary until it is confirmed by someone at your dealership. It is vitally important that as soon as every new booking arrives, your Service Advisors open the BookLink Console and process the booking. Advisors will be notified of each new booking by email.

Notes: 

  • All bookings received (ConfirmedCancelled, or Provisional) are available to view in the Diary.
  • Pending bookings over six weeks old will not appear in the list; however, they will still be accessible in the Diary. 
  • If you need to cancel a booking, click here for instructions. 

To confirm a booking:

  1. Log in to the Hatsfields BookLink Dealer Console. (Click here for instructions.)
  2. Bookings are displayed in the order they are due to arrive (top to bottom). Click the Confirm Booking icon.

  3. Transfer the booking information to your Dealer Management System and click Confirm.

To modify an unconfirmed booking:

  1. Reach out to the customer to determine a new booking time. 
  2. Log into the Hatsfields BookLink Dealer Console. (Click here for instructions.)
  3. Bookings are displayed in the order they are due to arrive (top to bottom). Click the Confirm Booking icon.

  4. Click Modify.

  5. Edit the fields as needed and click Update.

  6. Transfer the booking to your Workshop Loading System and click Confirm.
